WHAT’S NEW

⏳ Don’t Let People Slip Through the Cracks: New Automation Criteria Now Available
IN
Hints, Tips and Feature Releases
time

It’s not always what people do that matters - sometimes it’s what they haven’t done yet. This new automation criteria helps you spot when someone’s gone quiet, so you can follow up, re-engage, and keep your programmes moving forward.

In community work, outreach programmes and service delivery, it's often what doesn’t happen that matters most.

That’s why we’ve added a new Automation Criteria to Makerble:
“Days without an event invitation since being added to the project.”

It might sound like a small tweak - but it unlocks a powerful way to stay engaged with the people in your CRM, even when things go quiet.

🧠 Why This Matters

Most of us are used to automating responses to activity - someone attends an event, submits a form, completes a survey; and then a follow-up action kicks in. But what about the people who don’t engage or whom we haven't engaged?

This new Automation Criteria helps you identify and act on inactivity - specifically, people who have joined a project but haven’t been invited to any events in a certain number of days.

That’s often where disengagement begins - and where gentle, timely outreach can make all the difference.

🔄 How It Works

Once you set this criteria (e.g. “7 days without an event invitation”), Makerble automatically checks your data and applies Automated Actions to the contacts that match.

And from there, you can do a lot.

💡 What You Can Automate

This one simple condition can now trigger any of Makerble’s existing Automated Actions, including:

  • Send a personalised email or SMS
  • 🔁 Add the contact to another project
  • 🏷️ Update their status or flags
  • 👥 Assign them to a specific team member
  • 📤 Notify someone on your team

You can turn passive CRM records into active relationship-building steps - completely automatically.

📌 Real-World Use Cases

  • Youth Services: If a young person hasn't received an event invite within 10 days of joining a programme, trigger a welcome message or check-in text.
  • Volunteer Onboarding: Make sure every new volunteer is invited to an induction session within a week — and prompt the team if they’re not.
  • Wellbeing Support: Alert a keyworker if a participant hasn't been contacted or engaged in the first few days after joining a project.
  • Training Programmes: Ensure no participant falls through the cracks by automating nudges if they’ve not been invited to the next module or session.

🧭 A Nudge That Keeps People Moving

This feature isn’t about chasing people. It’s about staying intentional - using your data to make sure every person on your project is seen, supported, and given the opportunity to stay connected.

The longer someone goes without being invited to participate, the more likely they are to disengage. This Automation Criteria helps you intervene before that happens.

Want to try it out? You’ll find the new criteria under the “Automated Actions” section of your project settings. Or read the full guide here.

Everything you need to plan, deliver and learn from your sessions

Define events your way - right from the start

Build Event Types that match the way you work. Event Types act like blueprints: they store settings for surveys, fields, guest info, roles, and more. Want to capture pick-up details for under-18s? Enable extra guest fields. Need to record arrival times or attach safeguarding notes? Just include them in the Event Type. No two services are the same - and now your events don’t have to be either.

Know who was there - and what really happened

Track attendance and insight in a single, secure step. Your customisable Attendance Form means you can record rich, person-by-person notes within a session - without breaching privacy. Notes for each individual stay private to their timeline, while group-level notes (e.g. facilitator reflections) appear on everyone’s record. Add files, scale-based ratings, outcomes, and more - all from a single place.

Smarter staffing, seamless rotas, effortless coordination

Assign staff, manage roles, track hours with clarity Schedule your team by event and role - whether someone’s coordinating, assisting, interpreting or supporting 1-to-1. Timesheets are auto-filled based on their attendance, and you can split hours by role to match different rates or responsibilities.

Send the right messages at the right time

Automate comms that boost engagement Set up rules to automatically email or text guests - for reminders, feedback requests, or re-engagement if attendance drops. Personalize your outreach at scale and keep relationships alive between sessions.

Everything in sync, no-one left behind

Scheduling doesn't stop at start times and guest lists. With Makerble, your sessions are tied to outcomes, insights and people’s real journeys. From automated follow-ups to integrated surveys and dashboards, it all flows - so your data tells the full story.
Make walk-ins feel welcome - and stay counted

Capture signups on the spot or in advance

Build branded Event Signup Pages with QR codes, custom fields and auto-tagging - ideal for both pre-booking and walk-in registration. Everything feeds directly into your CRM, so you're never copying and pasting guest data again.

Customise your tracking to get the insights that matter

Whether it’s guest satisfaction, confidence-building or behaviour change, you can track it - right from the event screen. Add pre/post-session surveys, visualise data instantly, and export insights across time. Better yet, connect this with your Impact dashboards.
Track impact - even when you don’t know every name

Use Manual Headcount for large or anonymous events

Running a large community event or open-access outreach session? Use Manual Headcount to log attendance without adding every person to your CRM. You can break numbers down by age, gender, or responses to survey questions - giving you meaningful data while respecting scale and anonymity.

One tool. Endless ways to support people.

Your sessions might be short and sharp or long and layered. With Makerble, the scheduling adapts to fit your service, your people, and your goals.
